As a Meeting Concierge at our luxury property, you are the ultimate host—providing white-glove service to meeting planners and their guests from arrival to departure. You’ll ensure every detail of their on-property event experience is executed flawlessly, while also supporting the internal team with polished administrative coordination behind the scenes. This dual role combines event-day excellence with operational precision to deliver the seamless, anticipatory service our brand is known for.
· Serve as the primary point of contact for meeting planners during events; deliver prompt, personalized service at every touchpoint.
· Greet clients daily and conduct proactive room checks to ensure event spaces meet luxury brand standards.
· Communicate client needs and updates in real time with Banquet, Culinary, AV, and Front Office, and Housekeeping teams to ensure exceptional execution.
· Monitor timing for meal functions, breaks, and refreshes, ensuring presentation, temperature, and cleanliness exceed expectations.
· Anticipate guest needs and respond to changes or requests with poise, urgency, and professionalism.
· Collaborate with the Banquet Captain and Events team to anticipate client needs and exceed expectations.
· Remain highly visible and accessible during events, offering discreet, detail-oriented service at all times.
· Prepare daily event summaries, BEO packets, and updated signage for distribution to operations teams.
· Maintain internal event calendars and assist with updating group resumes and departmental checklists.
· Communicate pre- and post-event notes to operational teams to ensure alignment and client satisfaction.
· Assist in maintaining event files, event floorplans, and correspondence for ongoing events.
· Support the Events team with welcome letters, amenities or special requests.
· Contribute to the development and refinement of SOPs for luxury-level service delivery.
· Minimum 1–2 years in luxury hospitality, event services, or customer experience roles.
· Outstanding interpersonal skills with a refined, service-first approach.
· Exceptional communication and organizational skills.
· Ability to multitask and remain calm under pressure in a fast-paced environment.
· Highly organized with a sharp eye for detail and a natural sense of urgency.
· Proficiency in Microsoft Office; familiarity with event management software such as Delphi, Opera, or similar is a plus.
· Ability to remain calm, composed, and gracious in high-pressure situations.
· Flexible schedule, including availability for early mornings, evenings, weekends, and holidays.
